Medical Support Specialist on the Pre-Employment Medical Team scheduling and coordinating medical exams and tests. Providing administrative support and communications with candidates, medical providers, and internal teams.
Responsibilities
Provide administrative support to the medical team.
Coordinate and schedule pre-employment medical examinations, laboratory tests, vaccinations, and others as requested for candidates.
Manage high-volume scheduling across multiple time zones and international medical facilities.
Communicate appointment details, instructions, and requirements clearly to candidates via phone and email.
Track and monitor progress through the medical clearance process.
Maintain accurate and up to date records in tracking and compliance systems.
Follow up on pending results, missing documentation, and rescheduling as needed.
Liaise with recruiters, medical providers, and overseas project teams.
Ensure strict confidentiality and compliance with privacy regulations and company security protocols.
Provide exceptional customer service to candidates throughout the process.
Requirements
Minimum three (3) years of experience as a Medical Assistant or EMT.
Must possess valid BLS (CPR) certification.
Knowledge of medical terminology and clinical procedures.
Knowledge of HIPAA compliance.
Proficiency in Microsoft Office 365 and Adobe.
Excellent interpersonal and communication skills.
Ability to remain calm and professional in stressful situations.
Ability to work independently and as part of a team.
Excellent organizational skills and ability to manage multiple priorities in a fast-paced environment.
Outstanding written and verbal communication skills.
