Responsibilities
Provide logistical and administrative support to the operations teams: schedule meetings, draft minutes, and follow up on action items.
Manage calendars and priorities proactively, in collaboration with managers and the executive assistant.
Participate in logistical planning for events (team meetings, quarterly meetings, departmental meetings, corporate events, etc.), including invitations, bookings, vendors, and equipment.
Coordinate travel related to events or external meetings (accommodations, flights, transportation, etc.), ensuring efficiency and compliance with internal policies.
Carry out administrative tasks with rigor, accuracy and a high level of confidentiality, including preparing, processing and transmitting internal documents.
Contribute to continuous process improvement and propose practical solutions to optimize efficiency.
Requirements
College diploma (DEC) in Office Administration, Administration, or a related field
Minimum of 5 years of relevant administrative support experience, ideally in the insurance sector or a high-volume environment
Bilingualism required (French and English, spoken and written) to support operations across Canada
Driver’s license required for occasional travel between our offices, primarily at the Terrebonne location
Excellent command of the Microsoft Office suite (Outlook, Word, Excel, PowerPoint, Teams) and SharePoint
Strong organizational skills, rigor, and the ability to manage multiple priorities simultaneously
Discretion, sound judgment, and exceptional attention to detail
Professional attitude, autonomy, and strong interpersonal skills
Comfortable working under pressure and collaborating in a high-volume environment
