About the role

  • HR Operations & Office Manager responsible for HR operations and office management at Epsor. Leading employee administration, payroll, and creating a positive workplace culture.

Responsibilities

  • Manage end-to-end employee administration: hiring formalities (DPAE), creation and updating of employee files, monitoring contractual deadlines and exit documentation.
  • Coordinate onboardings and offboardings: administrative preparation, tracking key steps and liaising with relevant teams.
  • Draft and update contractual documents (contracts, amendments, letters) in compliance with legal and collective agreement requirements.
  • Manage HR administrative programs: health insurance, meal vouchers, transport, medical check-ups, etc.
  • Oversee outsourced payroll: collect and transmit variable payroll elements, track leave and absences, coordinate with the payroll provider, review payslips and verify data consistency before validation.
  • Administer the HRIS (Lucca) and ensure its reliability, aiming for continuous data updates.
  • Serve as a reliable point of contact for employees and managers on day-to-day HR administrative matters.
  • Ensure smooth daily office operations: space organization, supplies management and general logistics.
  • Liaise with suppliers and ensure successful execution of their interventions.
  • Manage equipment, assets and access: ordering, inventory tracking, provisioning, badge and tool access management, ensuring everyone has what they need to work comfortably.
  • Act as the team contact for office-related matters and contribute to the quality of the working environment.
  • Organize internal team activities and ensure quality execution, contributing to the company culture on a daily basis.
  • Manage internal communication channels related to team life (Slack) and disseminate information.
  • Lead two major annual events (seminar / offsite), from preparation to operational coordination.

Requirements

  • 7+ years of experience in a role combining employee administration, payroll and Office Management, ideally in a startup or high-growth environment.
  • Strong knowledge of employee administration and HR obligations.
  • Experience with outsourced payroll: coordinating with a provider, audit and data validation.
  • Proficiency with an HRIS, ideally Lucca.
  • Ability to handle multiple priorities simultaneously with rigor and strong prioritization skills.
  • Autonomy and reliability in managing a broad scope.
  • Service-oriented mindset and ease interacting with varied stakeholders.
  • Capacity to manage unforeseen situations pragmatically.
