Responsibilities
Documenting key processes & procedures performed on a daily & weekly basis
Provide administrative support to the management team and staff by managing schedules, handling correspondence, and organizing documents.
Serve as a point of contact between management and departments
Maintain accurate records of documents, invoices, emails, and procedures
Schedule coordination for management team members
Enter accurate data in systems, including client information, when needed
Perform general office support duties as required
Ensure compliance with company policies is adhered to
Collaborate with colleagues across multiple departments to ensure seamless communication and workflow
Overseeing email marketing campaigns
Managing the management team’s email & calendar, along with scheduling meetings
Taking notes & documenting notes during team meetings with follow-up reminders
Running errands needed for event preparation
Requirements
Bachelor's degree in Business, Marketing, or a related field (or equivalent work experience).
3-5+ years of proven experience in administrative roles or similar fields that require high detail orientation, time management, and organization (preferably in property maintenance or real estate)
Excellent communication and interpersonal skills.
Ability to work independently and as part of a collaborative team.
Familiarity with CRM software and sales tools.
Results-oriented with a strong drive to achieve and exceed targets.
Must live near or around Dana Point, CA
