Seeking a Virtual Executive Assistant to provide operational support to a US client, handling insurance administration and executive coordination tasks. Requires strong organizational skills and insurance/accounting background.
Responsibilities
Manage insurance invoice processing, coding, tracking, and approvals
Reconcile data between Accounting and Risk Management systems
Maintain invoice allocation spreadsheets and insurance payment records
Resolve insurance cancellation notices and coordinate proof of payment
Collect and attach certificates of insurance (COIs) to related invoices
Assist with insurance policy maintenance and renewals
Support incident and claims management activities
Track loss control and safety recommendations
Manage COI requests from internal and external partners
Perform data entry, reconciliation, and file organization
Prepare exception, status, and tracking reports
Monitor deadlines, diary dates, and deliverables
Respond to helpdesk tickets and insurance-related inquiries
Manage emails, calendars, and scheduling for Risk Management leadership
Requirements
2+ years of experience as a Virtual Executive Assistant, Insurance Administrator, or Accounting Assistant
Strong background in property insurance and accounting support
Hands-on experience with invoice processing and reconciliation
Familiarity with database systems (Microsoft Dynamics strongly preferred)
Advanced Excel and Microsoft Office skills
Excellent written and spoken English
Highly organized, detail-oriented, and comfortable working independently
