About the role

  • Executive Assistant supporting the CEO in a health and nutrition company. Responsible for managing the CEO's calendar and facilitating organizational coordination.

Responsibilities

  • Managing the CEO's calendar with precision and intention, ensuring alignment with strategic priorities;
  • Handling complex scheduling and precise coordination across investors, partners, board members, and internal leaders;
  • Preparing agendas, briefing notes, follow-ups, and coordination materials for internal and external meetings;
  • Anticipating the CEO's needs – think two steps ahead to pre-empt risks, delays, and bottlenecks;
  • Streamlining processes, workflows, and administrative systems across the organization;
  • Serving as the coordination hub between the CEO and cross-functional leaders – maintaining the pulse on the organization;
  • Drafting, editing, and refining documents, slide decks, proposals, and communications;
  • Managing travel (domestic and international), logistics, bookings, and itineraries;
  • Monitoring recurring inquiries and handling responses or route appropriately;
  • Interacting regularly with senior leadership to ensure alignment, clarity, and follow-through;
  • Supporting preparation for board meetings, including binder materials, minutes coordination, distribution, and follow-up;
  • Creating and maintaining administrative SOPs for documentation, approval flows, e-signature processes, and meeting rhythms.

Requirements

  • 7-10 years of progressive experience in Executive Assistant, Administrative Manager, or similar roles supporting C-suite leaders
  • Exceptionally organized, detail-oriented, and emotionally intelligent
  • Must have the ability to work with AI tools and know how to best use them for efficiency
  • A natural anticipator – someone who sees around corners and stays two steps ahead
  • Confident, discreet, and comfortable handling sensitive and confidential information
  • Strong communicator with excellent writing and editing skills
  • Skilled in streamlining processes, improving administrative workflows, and creating order from ambiguity
  • Tech-savvy – comfortable with digital tools, scheduling systems, documents workflows, and cloud-based operations
  • Calm under pressure, solution-oriented, and highly professional.
