Executive Assistant to CHRO in a global company managing administrative tasks and strategic coordination. Supporting the People & Culture team with logistics and communication management.
Responsibilities
Facilitate high-level meetings and leadership forums by preparing agendas, managing documentation, and ensuring clear follow-up on action items
Proactively manage CHRO’s schedule, ensuring focus on impactful business priorities
Take full ownership of company fleet management for Germany, managing administrative processes and provider relationships
Track budgets, manage invoices, and coordinate financial workflows for People & Culture team
Lead the planning and execution of team meetings, social events, and offsites
Coordinate domestic and international travel arrangements for CHRO and key team members
Prepare and submit expense reports for the CHRO
Contribute to organizational initiatives and lead HR-related administrative projects independently
Manage external stakeholders communications and facilitate meetings as needed
Requirements
Extensive experience in an Executive Assistant or Team Admin role in fast-paced, international environments
Excellent communication skills in both German and English
Ability to process information rapidly and pivot easily as priorities change
Organized with close attention to detail while managing multiple stakeholders and projects
Proficient in Google Workspace and Microsoft Office
Experience handling sensitive information with confidentiality and professionalism
