Responsibilities
Provide high-level administrative support to senior executives, including diary management, travel coordination, and meeting scheduling.
Manage incoming communications, screen calls and emails, and prioritise correspondence on behalf of executives.
Prepare agendas, reports, presentations, briefing papers, and meeting minutes.
Coordinate internal and external meetings, including leadership meetings, board meetings, and stakeholder engagements.
Support project coordination and follow up on key actions across departments.
Arrange domestic and international travel, accommodation, and itineraries.
Maintain confidential records, documents, and executive files with a high level of discretion.
Liaise with internal teams, clients, suppliers, and external stakeholders in a professional manner.
Assist with event planning, executive visits, and business functions.
Monitor deadlines, key deliverables, and operational priorities to ensure executives remain well prepared.
Support budget tracking, expense processing, and invoice administration where required.
Contribute to process improvements that enhance efficiency within the executive office.
Requirements
Proven experience as an Executive Assistant, Personal Assistant, or in a similar senior administrative support role.
Experience working in logistics, supply chain, transport, manufacturing, or another fast-paced operational environment is preferred.
Excellent organisational and time management skills, with the ability to manage multiple priorities.
Strong written and verbal communication skills.
High level of professionalism, discretion, and confidentiality.
Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
Strong attention to detail and problem-solving ability.
Ability to work independently and collaboratively across teams.
Comfortable operating in a deadline-driven and changing environment.
A proactive approach with the confidence to anticipate executive needs.
Educated to A-level or equivalent; additional business administration qualifications would be beneficial.
