Talent Acquisition Coordinator managing onboarding lifecycle from offer through Day One for Hilton Grand Vacations. Ensuring positive candidate experiences and efficient coordination with HR and partners.
Responsibilities
Prepare and generate offer letters in accordance with approved compensation, leveling, and internal policies
Coordinate offer approvals with recruiters, hiring managers, HR, and finance as needed
Send offers to candidates and track acceptance, declines, and negotiations
Manage pre-employment requirements, including background checks, reference checks, and employment eligibility verification
Communicate next steps clearly to candidates after offer acceptance
Initiate and track onboarding workflows in HRIS/onboarding systems
Collect and verify new hire documentation (I-9, tax forms, agreements, policy acknowledgments)
Coordinate start dates and ensure alignment across recruiting, HR, Training, and hiring managers
Provide new hires with onboarding schedules, welcome materials, and first-day instructions
Ensure all onboarding tasks are completed prior to Day One
Serve as a point of contact for new hires on Day One to troubleshoot issues
Coordinate introductions and handoffs to Training & HR
Ensure a smooth transition from recruiting to onboarding and employee lifecycle ownership
Ensure all offer and onboarding processes comply with legal, regulatory, and company policies
Maintain accurate records in ATS and HRIS systems
Track onboarding completion metrics and resolve outstanding items promptly
Identify process gaps and recommend improvements to offer and onboarding workflows
Requirements
Proven experience as a Talent Acquisition Coordinator, or similar role.
Familiarity and proficiency with Applicant Tracking Systems (ATS) and HR software
Exceptional interpersonal, communication, and relationship-building skills, with the ability to engage effectively with a diverse range of stakeholders and candidates.
Strong organizational and time-management abilities, with the capacity to manage multiple open positions and prioritize tasks in a fast-paced environment.
Strong problem-solving skills and a data-driven approach to recruitment.
