Event Consultant for Flytour Eventos, leading logistics and coordinating corporate travel and events. Ensuring high quality and adherence to client expectations while negotiating with suppliers.
Responsibilities
Lead events under your responsibility, including analysis, briefing review, accommodation, logistics and additional requirements, discussing and evaluating these with clients to ensure correct contracting;
Provide proactive consulting, suggesting actions and improvements to achieve expected results, acting as an events consultant and proposing changes and innovations based on technical expertise;
Request, prepare and send event proposals and quotations;
Negotiate pricing with suppliers to achieve saving targets;
Track RSVPs, monitor outstanding items and propose solutions through careful analysis of information exchanged between the Agency and the Client;
Monitor all services contracted for the event, ensuring quality and adherence to deadlines;
Run and manage the event using Flytour’s established systems (Inteegra);
Close out the event, ensuring correct completion in current systems, submission of mandatory documents and requesting supplier payments when applicable;
Arrange payment schedules for involved suppliers;
Analyze connection times and mandatory data in participant attendance lists for virtual, hybrid and in-person events;
Ensure compliance with SLAs and KPIs established in the contract between Amex GBT/Flytour;
Conduct site inspections to ensure venues meet the event briefing requirements, when necessary;
Participate in and conduct periodic training provided by Flytour and Amex/GBT;
Follow all policies and guidelines of Flytour and its departments;
Attend weekly meetings with your manager to report on activity progress and the achievement of individual and corporate goals;
Lead and participate in pre-event meetings and activities with those responsible for each project, including negotiations, always observing compliance rules.
Requirements
Completed higher education or currently attending university;
Proven experience in corporate event logistics;
Intermediate knowledge of Microsoft Office, especially Excel;
Knowledge of the Inteegra system is a plus;
Organized, communicative profile with strong negotiation skills.
