Responsibilities
Maintain a clear, real-time view of team capacity across Strategy, Creative and Craft Design using Smartsheet and Resource Management
You will allocate work based on capacity, skillsets and project priority, in consultation with department leads and the Creative Operations Director
Maintain and update the agency workflow schedule, ensuring milestones and dependencies are clearly tracked
Run weekly workflow WIPs and daily stand-ups where required to keep schedules accurate and identify risks early
Review project timelines provided by project or account leads and validate against current resource availability. Identify upcoming capacity gaps or peak periods and escalate potential freelance needs
You will ensure all briefs, finance approvals, and hours are locked in before work begins.
Monitor progress across active projects and proactively flag risks to timelines or resourcing
Work closely with creative, strategy and project leads to prioritise competing workstreams
Support the smooth handover between teams across different stages of the creative process and oversee final project archiving
Requirements
2–4 years experience in traffic, workflow, resourcing or project coordination within a creative, design or advertising environment
Experience supporting multiple creative disciplines such as strategy, design, social, PR or campaign delivery
Familiarity with resource management or project management systems (experience with Smartsheet or Resource Manager is highly desirable)
Strong organisational and scheduling skills with excellent attention to detail
