Responsibilities

Provide high-level administrative, operational, and strategic support, acting as the right hand of the Director of Operations & Infrastructure.
Manage complex calendars, coordinating meetings, handling confidential communications, preparing reports/presentations, liaising with stakeholders, overseeing projects, and ensuring smooth day-to-day operations to free up for strategic initiatives.
Organize and prioritize meetings, prepare agendas, take minutes, track action items, arrange logistics, and prepare the Director for appointments.
Prepare documents, reports, presentations, and internal communications with clarity and professionalism.
Maintain operational trackers, dashboards, and shared databases to ensure information is up to date and accessible.
Be the communication hub by screening messages, distributing information, and coordinating with cross functional teams.
Support special projects, workshops, offsites, and operational initiatives from planning to execution, including progress monitoring and tracking of deadlines.
Keep internal processes running smoothly with consistent follow-up, structured systems, and an eye for improvement.
Maintain organized and up-to-date files, databases, and records.
Ensure confidentiality and discretion in handling sensitive information.
Requirements
5 + Years of experience as Assistant to C-Level within a global and fast paced environment
Strong organizational skills with the ability to prioritize multiple tasks and manage tight deadlines
Excellent communication skills and a professional writing style for clear document preparation in English, any other language is a plus.
Proven experience coordinating complex schedules, logistics, and travel arrangements
Detail oriented and organized, must be excellent with follow up and follow through
Ability to communicate professionally and skillfully on behalf of others
Ability to work independently
Ability to synthesize information and communicate relevant content to various audiences
Ability to problem-solve, multi-task, and complete work on time
Proficient in Microsoft Office Suite and other relevant software.
