Responsibilities
You will take full responsibility for preparatory accounting: collect, review, digitize, and allocate supporting documents, and hand them over cleanly to the tax firm (e.g., via DATEV).
Act as the central point of contact for accounting, payroll and social security agencies, and resolve open issues independently.
Ensure employee, vacation, and absence records are accurately maintained—both for current staff and for every new hire.
Build a tidy, digital backoffice structure: cloud folders, contracts, documents, mailboxes, and Excel overviews.
Provide operational support for recruiting: post job ads, pre-screen applications, and coordinate interviews.
Free up the executive team so they can focus on growth and product.
Requirements
2–5 years’ experience in a commercial/administrative role (e.g., office management, back office, executive assistant, clerical administration).
Exposure to preparatory accounting; DATEV knowledge is a plus but not required.
Strong organizational skills: structured filing, clean lists, and reliable processes.
Very meticulous and discreet handling of financial and personnel data.
Willingness to learn payroll and social security matters and take on responsibility.
Basic understanding of HR & recruiting (postings, pre-screening, coordination).
Clear, reliable communication in German.
Comfortable working remotely with occasional on-site days in the Monheim area.
