Events Assistant supporting the planning and delivery of diverse events for RAND Europe, engaging policymakers and the public with impact research.
Responsibilities
Support the planning, coordination, and delivery of in-person, hybrid, and online events, including conferences, workshops, seminars, and stakeholder roundtables.
Work closely with research teams and Communications and Partnerships leadership to understand event objectives and design formats that achieve them.
Manage logistics including: venue booking, catering, AV/IT, travel arrangements, delegate registration, accessibility needs, and compliance with health and safety requirements.
Help to build relationships with venues, caterers, AV providers, and other external partners to ensure value for money and high-quality service.
Liaise with external partners and speakers, ensuring excellent communication and smooth delivery.
Support the development of promotional materials in coordination with the Communications team, including event invitations, web pages, and social media content.
Support effective financial management by processing invoices and monitoring event costs.
Provide on-the-day support, including event setup, troubleshooting, and stakeholder liaison.
Collect and analyse post-event feedback to support continuous improvement.
Maintain a central events calendar and support effective reporting to internal stakeholders.
Requirements
Proven experience in event planning, coordination, and/or project administration (ideally in an academic, policy, or research-focused environment).
Strong organisational and time-management skills, with the ability to manage multiple events simultaneously.
Excellent written and verbal communication skills, with confidence engaging stakeholders at all levels.
Strong problem-solving skills and attention to detail.
Ability to work flexibly and adapt to changing priorities.
Proficiency in Microsoft Office and virtual event platforms (e.g., Zoom, Teams).
Experience using CRM systems and email marketing platforms to manage invitations, outreach, and delegate communications.
