Executive Assistant supporting the CEO's strategic focus in a growing real estate management startup. Responsible for scheduling, meetings, travel coordination, and stakeholder management.
Responsibilities
As Executive Assistant (w/m/d), you are the central interface for the CEO and responsible for proactively managing his most valuable resource: time.
You ensure the CEO can focus on strategic matters by intelligently coordinating appointments, meetings, travel, and information flow.
Proactively support the CEO in day-to-day operations by anticipating priorities, decision needs and strategic issues.
End-to-end management of calendar, appointments and travel, including prioritization based on strategic relevance and early identification of scheduling conflicts and bottlenecks.
Professional internal and external stakeholder management and a confident interface with executives, board members, partners and other relevant contacts.
Preparation, coordination and follow-up of meetings, including creating agendas, minutes, decision documents, presentations and follow-ups.
Functional responsibility for office management and close collaboration with the Office Manager to ensure efficient organizational processes.
Planning and management of internal and external events (e.g., offsites or management meetings), including vendor coordination and budget oversight.
Responsibility for administrative matters as well as travel and expense management in compliance with internal policies.
Requirements
Completed commercial training or degree (e.g., Business Administration, Management, Communications or similar) or equivalent professional experience
Experience as an Executive Assistant / Personal Assistant or in a comparable role
Excellent organizational and prioritization skills
Event management experience is a plus but not required
High level of discretion, reliability and initiative
Structured, solution-oriented hands-on mentality
Confident demeanor and strong communication skills at C-level
Very good German and English skills, both written and spoken.
