Business Operations Lead driving strategic initiatives and executing high-impact projects at Stay22's Montreal HQ, supporting both operational efficiency and organizational communication.
Responsibilities
Ensure end-to-end planning and execution of the company’s two annual flagship events: the company-wide Annual Kickoff (January) and the international Company Retreat (September)
Lead all aspects of delivery, including budgeting, vendor and contract management, travel and logistics, and on-site execution
Collaborate with the Chief of Staff to design objectives and agendas that support strategy, strengthen company culture, and drive organizational alignment
Rigorously follow up after events by converting outcomes into documented decisions, clear ownership, and actionable operational next steps
Design, implement, and continuously evolve the company’s centralized operating system to ensure clarity, scalability, and consistency of execution as the organization grows
Identify, test, and deploy centralized workflows and AI-enabled tools that materially improve efficiency, decision-making, and operational impact
Establish centralized guidelines, standards, and infrastructure for responsible and effective AI adoption across teams to ensure consistency without slowing execution
Build and maintain centralized processes, systems, and documentation that reduce friction, improve handoffs between teams, and support sustainable growth
Ensure information is stored in the appropriate centralized systems (e.g., Slack, Trello, Jira, documentation tools), with clear standards on where each type of information belongs to support execution, visibility, and accountability
Establish and maintain single sources of truth for decisions, priorities, and project status so teams know where to find reliable information
Design simple, centralized processes that link discussions to action so decisions and updates consistently translate into clear, tracked tasks
Reduce noise and duplication by standardizing how updates, decisions, and progress are captured, shared, and tracked across the organization
Partner with the Chief of Staff to drive high-impact cross-functional initiatives throughout the year
Tackle ambiguous problems, identify new opportunities, and lead initiatives from discovery through execution
Serve as a trusted project lead on strategic initiatives that require strong problem-solving, stakeholder alignment, and operational excellence.
Requirements
Proficiency in English is required for daily communication with international clients and colleagues.
8+ years of experience in high-performing environments such as strategic operations, management consulting, or roles at technology companies or high-growth startups.
Demonstrated ability to drive complex, ambiguous initiatives from concept to execution — you can turn difficult challenges into tangible outcomes.
Strong systems thinking and process design skills; you can build structures and systems that enable scalable, repeatable execution.
Excellent project management skills, with experience coordinating multiple initiatives and competing priorities simultaneously.
Advanced proficiency with modern collaboration and execution tools (Google Workspace, Slack, Glean), and comfort using productivity tools that incorporate AI.
Outstanding written and verbal communication skills, with the ability to synthesize complex information into clear, actionable guidance for diverse audiences.
Nice to have: experience planning and executing large-scale events, with a solid understanding of logistics, timelines, and multi-stakeholder coordination.
An MBA or equivalent advanced degree is a plus but not required.
