Responsibilities
Be the first point of contact—answer calls, manage emails, and greet clients with warmth and professionalism.
Schedule client appointments and coordinate care to ensure seamless support.
Maintain compliance with charts, insurance billing, and office documentation.
Work collaboratively with our team.
Submit insurance claims (primary and secondary) accurately and in a timely manner.
Review and resolve rejected/denied claims.
Manage aging reports and follow up on unpaid claims or denied claims and work with insurance companies to resolve discrepancies.
Monitor claim status and ensure timely reimbursement in accordance with payer timelines.
Handle patient billing inquiries and provide clear and compassionate explanations regarding account balances.
Assist with audits, reporting, and month-end reconciliation as needed.
Make calls to collect patient co-pays/co-insurance.
Verify patient insurance information and eligibility.
Post insurance and patient payments.
Send patient statements and respond to billing inquiries.
Maintain HIPAA compliance and confidentiality.
Collaborate with clinical and admin teams on documentation and coding best practices.
Perform other duties as assigned by Clinic Director.
Requirements
Bachelor’s degree required (Healthcare Administration, Business, or related field preferred)
2+ years of medical billing experience, preferably in mental or behavioral health
Strong knowledge of CPT, ICD-10, and EHR/PM systems (Valant preferably)
Proven proficiency with both private insurance and Medicare billing
Familiarity with BCBS, IBX, Aetna, United, Cigna, Optum, Medicare and other major Pennsylvania payers
Hands-on experience contributing to the full revenue cycle
Comfortable working with billing software, clearinghouses, and electronic health record (EHR) systems
Ability to manage multiple tasks in a fast-paced healthcare environment
