Responsibilities
Provide confidential, high-level administrative and secretarial support
Manage complex diaries, selected email correspondence, and meeting preparation
Coordinate meetings, events, committees and travel, including acting as secretariat for high-level committees
Prepare executive-level reports, papers, presentations and documentation
Manage office processes, electronic filing systems, and consumables
Support workforce administration including UKG management, mandatory training and KPI monitoring
Liaise on behalf of the CNMIO and CMIO with internal stakeholders, consumer representatives, executive leaders and external partners
Provide support to Clinical Informatics leaders for recruitment, onboarding, events and general administrative needs
Requirements
Previous experience as an Executive Assistant, Program Administrator or Administration Manager
Strong organisational and prioritisation skills
Excellent writing skills and attention to detail
Ability to handle sensitive and confidential matters professionally
Experience coordinating events, meetings, and reports
Well-developed interpersonal skills and confidence interacting with stakeholders at all levels
Intermediate–advanced Microsoft 365 skills (Outlook, Word, Excel, PowerPoint, SharePoint, OneNote)
Flexibility to support meetings and activities aligned to operational needs
Good working knowledge of hospital administrative processes and hospital systems (KRONOS, iProc, BEIMS, Riskman, Mercury E-recruit, LanPage, iPM) is desirable
