Responsibilities
Answering the telephone, scheduling calls and ongoing client communications
Requesting conflict searches, opening and closing files
Scheduling appointments, maintaining calendars, and coordinating client meetings
Preparing and processing documents for client meetings and ongoing file management
Drafting, formatting and proofreading estate planning documents including wills, power of attorney, etc.
Maintaining accounts receivable, preparing/sending invoices, coordinating accounting and reporting letters
Drafting letters for client matters
Maintaining an effective BF system
Transcribing dictation
Completing registrations and administrative support for various events, conferences, or other, and organizing group meetings and creating agenda, minutes
Other duties related to the administration of the practice and assisting the estates clerk.
Requirements
Experience as a Legal Assistant or equivalent education/experience
Strong understanding of Ontario estate law procedures and processes preferred
Strong interpersonal, organizational, and problem-solving skills with impeccable multi-tasking abilities
A strong commitment to high quality client service
Possess and professional demeanor and a strong work ethic
The ability to work effectively in a team and individually
Excellent written and oral communication skills
Experience with technology and working in a remote/ hybrid environment
Strong Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
